  • Verification data required by law, including identity documents, proof of address, right to rent evidence and anti-money laundering checks.
  • Financial information where relevant to a mortgage referral, affordability assessment or tenant referencing.
  • Technical data, including IP address, device type, browser and how you use our website.
  • Records of your communications with us, including calls, emails and messages.

3. How we use your information

  • To provide estate agency, lettings and property management services to you.
  • To value, market and progress the sale or letting of a property.
  • To match you with properties or buyers and to arrange viewings.
  • To carry out identity, anti-money laundering and referencing checks.

  • To send you service updates and, where you have not objected, marketing about our services.

4. Our legal bases

We rely on performance of a contract where we are delivering services you have instructed; legal obligation for identity, anti-money laundering and lettings compliance checks; legitimate interests for marketing our services, improving our business and preventing fraud; and consent for certain marketing communications and non-essential cookies. Where we rely on consent you may withdraw it at any time.

5. Who we share information with

  • Other companies within the Aarsal Holdings Ltd. group.
  • Property portals and advertising platforms where your property is marketed.
  • Conveyancers, solicitors, mortgage advisers, surveyors, referencing agencies, deposit protection schemes and contractors, where relevant to your transaction.
  • Service providers who host our systems, provide customer support tools or process payments.
  • Regulators, law enforcement and other authorities where we are required to do so.

We do not sell your personal data. Where a supplier processes data on our behalf, they act only on our instructions under a written contract.

6. International transfers

Some of our suppliers are located outside the United Kingdom. Where personal data is transferred internationally we rely on UK adequacy regulations or the International Data Transfer Agreement and Addendum, together with appropriate technical safeguards.

7. How long we keep your data

We keep records relating to a completed sale or tenancy for six years after the end of our relationship, in line with our legal and tax obligations. Anti-money laundering records are kept for five years from the end of the transaction. Enquiries that do not proceed are normally deleted within two years. Marketing preferences are retained so we can continue to respect your choices.

8. Your rights

Under UK data protection law you have the right to access your personal data, to have inaccurate data corrected, to request erasure, to restrict or object to processing, to data portability, and to object to direct marketing at any time. To exercise any right, contact privacy@aarsalproperties.co.uk. We will respond within one month.

If you are unhappy with how we have handled your data you may complain to the Information Commissioner's Office at ico.org.uk, although we would ask you to contact us first so we can try to resolve matters.
